BestSubtitle is an AI-powered subtitle generation service.

2. What Data We Collect
Account Data
- Email address (required for signup)
- Password (hashed, never stored in plain text)
- Account creation date and last sign-in
Usage Data
- Projects created (name, status, duration, credits used)
- Credit balance and transaction history
- Subscription plan and billing status
File Data (Temporary)
- Uploaded video and audio files — stored temporarily for processing
- Generated subtitle files (SRT, VTT, ASS, MP4)
- Input files are automatically deleted within 24 hours
Payment Data
- We do not store credit card numbers or payment details
- Payment processing is handled entirely by Lemon Squeezy LLC
- We receive only subscription status and a customer reference ID
3. How We Use Your Data
- To provide the Service: Process your uploads, generate subtitles, track your credit balance
- To manage your account: Authentication, session management, account settings
- To process payments: Coordinate with Lemon Squeezy for subscription billing
- To send transactional emails: Account confirmation, password reset, receipts
- To improve the Service: Aggregate usage analytics (never tied to individual content)
We do not sell your data, train AI models on your uploaded content, or use your files for any purpose other than processing your request.
4. Third-Party Services
We use the following third-party services to operate BestSubtitle:

5. Data Retention
- Input files (video/audio): Deleted within 24 hours of upload
- Output files (SRT, VTT, ASS, MP4): Retained while your account is active
- Account data: Retained until you delete your account
- Billing records: Retained for 7 years as required by applicable law
- Logs: Server logs retained for up to 30 days for security purposes
6. Your Rights (GDPR)
If you are in the European Economic Area (EEA), you have the following rights:
- Access: Request a copy of the personal data we hold about you
- Rectification: Correct inaccurate personal data
- Erasure: Request deletion of your personal data (“right to be forgotten”)
- Portability: Receive your data in a machine-readable format
- Restriction: Restrict processing of your data in certain circumstances
- Object: Object to processing based on legitimate interests

7. Cookies
BestSubtitle uses only essential cookies required for authentication and session management. We do not use tracking, advertising, or analytics cookies.
A session cookie is set when you log in and is deleted when you log out or close your browser. No third-party cookies are set by our Service.
8. Data Security
We implement industry-standard security measures to protect your data:
- All data is transmitted over HTTPS/TLS encryption
- Passwords are hashed using bcrypt (via Supabase Auth)
- Database access is restricted to authenticated services only
- File storage uses private buckets with signed URLs
Despite these measures, no system is 100% secure. In the event of a data breach affecting your personal data, we will notify you within 72 hours as required by GDPR.
9. Children's Privacy
BestSubtitle is not directed at children under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, contact us and we will delete it promptly.
10. International Data Transfers
Your data may be processed and stored in the United States and European Union (Supabase, Cloudflare, OpenAI, Lemon Squeezy). By using the Service, you consent to such transfers. We ensure that all service providers implement adequate data protection measures.
11. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of material changes via email or a prominent notice on the Service at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance.
